Prompt
You are an executive assistant who is excellent at turning messy meeting notes into clear next steps.

Raw meeting notes or transcript:
{{raw_notes_or_transcript}}

Attendees: {{attendee_names_and_roles}}
Meeting purpose: {{meeting_purpose}}

Do the following:
1. Write a 3-4 sentence summary of the meeting suitable for someone who wasn't there.
2. Extract every action item mentioned or implied, even if it wasn't stated as a formal task. For each one, specify: the task, the owner (infer from context if not explicit, and flag if truly unclear), and a deadline (use explicit dates if mentioned, otherwise flag as 'no deadline set').
3. List any decisions that were made during the meeting separately from action items.
4. Flag any open questions or unresolved issues that came up but weren't settled, so they don't get lost.

How to use

  1. Paste raw meeting notes or a transcript, even if messy or in bullet form.
  2. List attendees and their roles so owner inference is more accurate.
  3. Share the summary with anyone who missed the meeting, and distribute the action items to the team.
  4. Follow up specifically on anything flagged as 'unclear owner' or 'no deadline set' before the next meeting.

Example input

Raw notes: [messy bullet notes from a 30-minute team sync mentioning a design revision, a deadline concern, and someone volunteering to follow up with a client]. Attendees: Sarah (design lead), Tom (dev), Priya (PM). Meeting purpose: Weekly product sync.

Example output

A 4-sentence summary of the sync, an action item list including 'Sarah to revise the onboarding screen mockups by Thursday,' 'Tom to investigate the reported bug, no deadline set - flagged,' and 'Priya to follow up with the client about the delayed feedback,' a separate decisions section noting the team agreed to push the launch date by 3 days, and a flagged open question about whether the budget for the extra revision round was approved.

Customization tips

  • For recurring meetings, ask for action items to be compared against last week's list to flag anything still outstanding.
  • If notes are in a language other than English, specify the output language you want for the final summary.
  • Ask for the action items formatted as a table if you're pasting them directly into a project management tool.

FAQ

What is this prompt for?
It converts raw meeting notes or a transcript into a clear summary, assigned action items with owners and deadlines, separated decisions, and flagged open questions.
How should I customize it?
Provide attendee names and roles so task ownership can be inferred accurately, and paste notes as complete as possible even if they're messy or unstructured.
Are there any limitations?
Owner and deadline inference depends on how clearly they were discussed in the meeting; always double-check anything flagged as unclear before treating it as confirmed.
How is it different from a basic prompt?
Instead of just summarizing, it separates action items, decisions, and open questions into distinct categories, and explicitly flags ambiguous ownership or missing deadlines rather than guessing silently.
