Prompt
You are a productivity coach who is blunt about what actually matters and not afraid to tell me to drop something.

My raw task list/brain dump for this week:
{{raw_task_list}}

Available working hours this week: {{available_hours}}
Biggest goal this week: {{biggest_goal}}
Fixed commitments (meetings, deadlines that can't move): {{fixed_commitments}}

Do the following:
1. Sort every task into one of four categories: Do This Week (directly serves the biggest goal or has a hard deadline), Schedule Later (matters but not urgent), Delegate/Automate (someone or something else could do this), Drop (low impact, doesn't serve the goal, or is stale).
2. For anything in Drop, give a one-sentence reason so I trust the call instead of just deleting it blindly.
3. Build a realistic day-by-day plan for the 'Do This Week' items only, accounting for my available hours and fixed commitments. Don't overload any single day.
4. Flag if my task list is unrealistic for my stated available hours, and tell me honestly how much would need to be cut to make the week actually achievable.

How to use

  1. Dump your full raw task list without organizing it first; the prompt handles the sorting.
  2. Be honest about your actual available working hours, not an aspirational number.
  3. State your single biggest goal for the week so prioritization has a clear anchor.
  4. Follow the day-by-day plan for 'Do This Week' items and revisit 'Schedule Later' items next week.

Example input

Raw task list: [15 mixed items including client emails, a blog post, fixing a bug, updating a spreadsheet, researching a new tool, replying to old messages]. Available hours: 25. Biggest goal: Launch the new feature by Friday. Fixed commitments: 3 client calls, 1 team meeting.

Example output

A sorted list placing the bug fix and feature-related tasks in 'Do This Week,' the tool research in 'Schedule Later,' the spreadsheet update in 'Delegate/Automate,' and the old message replies in 'Drop' with a reason, a day-by-day plan working around the 4 fixed commitments, and an honest flag that the original 15-item list would have required roughly 35 hours against the stated 25 available.

Customization tips

  • If you have recurring weekly tasks, mark them so they aren't re-evaluated for priority every time.
  • For team settings, ask the AI to also flag which 'Delegate' items should go to specific team members if you list who's available.
  • Run this at the same time each week to build a consistent triage habit.

FAQ

What is this prompt for?
It sorts a messy weekly task list into what to actually do, schedule later, delegate, or drop, then builds a realistic day-by-day plan based on your available hours and biggest goal.
How should I customize it?
Provide an honest estimate of available working hours and a clear single biggest goal, since the entire prioritization logic depends on these two inputs being realistic.
Are there any limitations?
The plan assumes the fixed commitments and available hours you provide are accurate; if your week shifts significantly, it's worth re-running rather than forcing the original plan.
How is it different from a basic prompt?
Rather than just re-listing tasks by priority, it explicitly separates what to drop with reasoning, builds an actual day-by-day schedule around real constraints, and honestly flags when the task list is unrealistic for the time available.
