About this skill

Time Management & Prioritization System takes a raw list of tasks or commitments and sorts them by real urgency and impact rather than list order, using a simple, transparent framework. It explicitly names what should be dropped, delegated, or deferred — not just what to do first — because the biggest failure of most prioritization advice is refusing to say what shouldn't get done.

What it does

Given a list of tasks, deadlines, and (optionally) their importance to a stated goal, the skill sorts them into do-first, schedule, delegate, and drop categories using an urgency/impact framework, explains the reasoning for any non-obvious placement, and flags when the total workload looks unrealistic for the time available rather than pretending everything fits.

What is included

  • Urgency/impact sorting framework (do-first, schedule, delegate, drop)
  • Reasoning notes for non-obvious prioritization calls
  • Workload-realism check against available time
  • Delegation candidate flagging
  • Simple daily/weekly planning template

How to use it

1. Download the SKILL.md file
2. Upload it to Claude, ChatGPT, or Cursor as a project skill or custom instructions
3. Share your task list, deadlines, and available time
4. Receive a sorted plan with explicit drop/delegate/defer calls

Examples

Example input
This week: finish client proposal (due Friday), respond to 40 emails, plan next quarter's roadmap, fix a minor bug users reported, prep for Monday's team meeting, review a contractor's work.
Example output
Do first: finish client proposal (hard deadline, high impact), prep for Monday's meeting (blocking, time-boxed to 30 min)

Schedule: review contractor's work (important but not urgent — block 1 hour mid-week), fix the minor bug (real but low-impact, batch with other small fixes)

Delegate: quarter roadmap planning input-gathering could be delegated to a team lead to draft a first pass for your review, rather than starting from scratch yourself

Drop or defer: don't try to respond to all 40 emails individually this week — batch-triage into urgent (reply today), can-wait (reply Friday), and no-reply-needed, rather than treating each as equal work

Realism check: client proposal plus meaningful roadmap work in one week, on top of 40 emails, is likely too much — the roadmap work is the one to push if Friday's deadline is firm.

FAQ

What is this skill for?
It sorts a messy task list into do-first, schedule, delegate, and drop categories based on real urgency and impact, and flags unrealistic workloads.
How do I install it?
Upload the SKILL.md as a custom skill or instructions file in Claude, ChatGPT, or Cursor, then share your task list and available time.
Will it just tell me everything is important?
No — it's specifically designed to name what should be dropped, delegated, or deferred, not just reorder everything as high priority.
What if I don't have deadlines for everything?
It will ask for the goal each task serves if not obvious, and estimate urgency/impact from context where a hard deadline isn't given.
How is this different from a generic to-do list app?
It actively reasons about tradeoffs and workload realism rather than just letting you sort or check off items yourself.
Can I use it weekly as an ongoing system?
Yes — it includes a simple weekly planning template you can reuse each time you have a new task list to sort.
